Privacy Policy

Who we are

Crew Portal is an operational portal operated by Zatonsky Moments LLC for authorized Zatonsky Moments crew members and contractors. It is used to view assigned projects and scheduling information, to share availability, and to upload and deliver work for those projects.

Information we collect

• Your name and email address;
• Google profile identity, if you sign in with Google;
• authorized account and access information (invitations, access grants, sessions and approved devices);
• your assigned projects and crew roles;
• availability and scheduling information;
• upload and delivery status for the files you submit;
• operational and security logs;
• notes and other project information you view or submit through the portal.

Google sign-in

When you sign in with Google, the portal receives your stable Google account identifier, your verified email address, your name and, where provided by Google, your profile image. This information is used to authenticate you, link your authorized crew identity, protect access to the portal, and display your account information.

Google Calendar free/busy access (optional)

You may optionally connect your Google Calendar so the portal can show your availability. This permission is separate from sign-in and uses Google's read-only free/busy scope. When connected, the portal queries only busy time intervals for a bounded date range and uses them to display your availability and to flag a possible schedule conflict. Through this flow the portal does not receive event titles, descriptions, locations, attendees, notes, or any other event content, and free/busy information is never used for advertising. You can hide your busy blocks or disconnect the calendar at any time in the portal.

Google API Limited Use disclosure

Crew Portal's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

• Authentication and authorization;
• displaying your assigned work and schedule;
• determining availability and possible schedule conflicts;
• operating upload and project-delivery workflows;
• security, troubleshooting, audit and abuse prevention;
• compliance with legal obligations.

Sharing

We do not sell personal information. Google user data is not used for advertising and is not used to train generalized AI models. Information may be processed by infrastructure and service providers only as necessary to operate the portal, and may be disclosed when legally required or when necessary to protect our users, our company or the service.

Storage and security

Calendar access credentials are stored server-side and encrypted at rest using AES-256-GCM. Access to portal data is limited to authenticated, authorized identities, and portal activity is logged for security purposes. No method of storage or transmission is absolutely secure, and we cannot promise absolute security.

Retention and deletion

We keep information only as long as reasonably necessary for portal operation, security, project records and legal obligations. Disconnecting your calendar in the portal deletes the stored calendar credential and asks Google to revoke it, which stops future calendar access. You can also revoke the portal's access at any time from your Google Account's third-party access page. Disconnecting or revoking does not necessarily delete business or audit records that were already created. You may request access to, correction of, or deletion of your information, where applicable, by contacting us.

Your controls

• Hide your busy blocks, or disconnect your calendar, from the portal's calendar screen;
• revoke access in your Google Account's third-party connections page;
• email [email protected] with privacy, access or deletion questions.

Children

Crew Portal is a business tool for authorized crew members and is not intended for children.

Changes to this policy

We will update this page when our data practices change. Material new uses of Google user data will be disclosed here and, where applicable, will require renewed consent.
